# Vault

> How to store and organize your documents in the Clatri Vault: groups and subgroups, search by month and type, and links to accounts, debts and assets.

The Vault is where your documents live: bank statements, tax returns, deeds, contracts, insurance policies, passport, invoices. It is Clatri's **only documents place**: everything you upload (from the chat, email or the Vault itself) ends up here.

Each profile has its own Vault: your personal entity and each business keep their documents separately.

## Groups

You organize documents in **groups** that you create, or that Clatri creates when you ask it to. A group has a name, an icon and a color, and can have **subgroups** up to three levels deep: *Statements › Bank › 2026*, *Taxes › 2025*.

- A document can be in **several groups** at once.
- **Taking** a document out of a group never deletes it: it stays in the Vault and in its other groups.
- **Deleting a group** doesn't delete its documents either. The group and its subgroups go away; the files stay.
- There are no sample or suggested groups. A group exists only because you or Clatri created it.
- Bank videos and screenshots are temporary and don't go into groups.

The **Without a group** card gathers everything that isn't in a group yet.

Long-press a group (on the web, right-click or the **…** button) to **edit** or **delete** it.

## Two ways to look

In the **…** menu at the top right you choose how to see the Vault. Clatri remembers the last one you used.

| View | What it shows |
|---|---|
| **Groups** | Your group cards, each with a collage of its latest documents. |
| **All documents** | The whole history of the profile, newest first, split by month. |

In **All documents** you can:

- **Search** by name: it searches the whole history, not just what's already loaded.
- **Filter by type**: statements, invoices, receipts, contracts, lab results…
- **Select** several (long-press one or use *Select* in the menu) and then put them in a group, link, share or delete them.

Inside a group, selection lets you **take out**, **move** to another group, **link** and **share**.

## A document's sheet

Tapping a document opens its sheet from the bottom:

- **Preview**: tap it to open the document. PDFs and photos open in Clatri's viewer; Excel, Word, CSV and PowerPoint open in your phone's viewer (Quick Look on iPhone, the system app on Android).
- **Rename** (pencil) and **share**.
- **In groups**: the groups it's in, with **+ Group** to add it to more.
- **Linked to**: link the document to an **account**, **card**, **debt**, **place**, or as the **invoice** or **warranty** of an asset. That way the statement shows up in its account and the warranty in its asset.
- **Delete document**: deletes it everywhere, not just from a group.

## What Clatri does

Clatri uses the Vault the way you do:

- When you upload a file that clearly fits a group that already exists, it **files it there** and tells you in one line (*"I saved it in Taxes"*).
- **It never creates a group without asking you.**
- If you ask it to *"organize my documents"*, it looks at what has no group, **proposes** the groups and where each document goes in a single question, and with your yes creates and files them.
- It finds documents by group, renames them and links them to your accounts, cards, debts, assets and places.

Some examples:

- *"file my Nequi statements by year"*
- *"where's the house deed?"*
- *"link this policy to the car loan"*
- *"organize my documents"*

## Privacy

Each group's name is stored **encrypted**. In your personal profile, if you turned on your personal key, the name also carries that layer: without your key nobody can read it. More in [Security and privacy](https://docs.clatri.com/en/security/).
